Let’s talk about the role:

The EU Project Office Manager plays a central role in leading the post-award management and administration of external research funding at RMIT Europe. RMIT Europe is currently involved in a diverse range of Horizon 2020 projects as a Partner in five projects and as a Coordinator in three MSCAs (ITN, RISE and COFUND).  

This role is an important and collaborative role that supports a team of researchers and project managers to ensure the smooth and efficient implementation and delivery of RMIT Europe’s portfolio of projects. The role delivers expert advice and support to researchers and broader team of staff on post-award matters, resolve implementation issues, documents business processes, and develops innovative solutions to improve service quality and effectiveness. 

In addition to being accountable for the efficient and effective post-award support to the current portfolio of EC funded projects, the role will also manage the implementation activities of future projects including legal matters (grant acceptance, legal negotiations and contracts variations), project establishment (including budget preparation), recruitment, and liaison with the European Commission, partners and internal stakeholders. 

The tasks and duties of this role will evolve along with the types of future awarded projects.

Along with in-depth previous experience and knowledge of the coordination, management and administration of EU funded projects, this role requires experience with financial project reporting, a proven track record in handling implementation issues across a diverse range of EC funded projects, a hands-on approach, a positive ‘can do’ attitude and strong communication and interpersonal skills. Impeccable stakeholder management skills, critical thinking and creative problem solving are also essential.    

What will you be accountable for? 

  • Oversee the entire life cycle of current portfolio of projects from project’s set up and implementation, delivery, and close-out.  
  • Manage implementation activities of future projects including legal (acceptance of Grant Agreement) financial (budget preparation) and HR (recruitment) matters, communications with the European Commission and Partners and project establishment in systems.   
  • Directly address and resolve project-related issues at all stages of the implementation and across multiple types of H2020 projects and be the reference point for all project administrative and financial matters.
  • Monitor contractual obligations and reporting deadlines in close partnerships with the researchers, project managers and chief investigators and ensure compliance with European Commission’s rules and requirements.
  • Support implementation and delivery of current portfolio of projects by providing expert advice to academic and non-academic staff on financial and administrative rules and best practice research funding management.
  • Review, improve and document post-awards processes, resources and guides to improve practices, and communicate these to stakeholders and update all relevant systems.
  • Monitor EU project budgets, prepare financial reports and internal audits.
  • Build and maintain positive working relationships with the broader research community of RMIT University, the Colleges and other central service areas, including Research Contracts and Awards Management, School of Graduate Research, Legal and Finance Services, collaborating on relevant post-awards matters.
  • Build and maintain strong, enduring relationships with external research funding bodies in particular the European Commission, keeping abreast of their requirements, funding rules and processes.
  • Establish an approach to leverage current projects’ activities and resources in line with RMIT Europe’s Operating Plan and Strategy.
  • Other duties within the scope of the role to support RMIT Europe as specified by the Associate Director, Planning & Resources.
