STRATEGIC OBJECTIVE/ACTIVITY:

To deliver standard logistics support processes for a specific professional area of work, to facilitate effective service delivery.

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:

The Logistic Assistant (Q&Q) will work in the Logistics/ Warehouse and in collaboration with the other units of WFP

To implement well-defined standard logistics processes and activities to enable effective delivery of goods and services for all delivery modalities. The Logistics. Assistant (Q&Q) will work in the Tartous Field Office under direct supervision of Warehouse Manager / Logistics Officer within Warehouse operations team.

ACCOUNTABILITIES/RESPONSIBILITIES:

  • Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of food assistance to beneficiaries.
  • Safeguard commodities, and provide guidance on the implementation of preventive measures, to ensure efficient quality control in line with WFP established procedures. Daily, regular commodities inspection focusing on expiring dates, BUB, proper stacking / storage.
  • Support management of logistics vendors’ contracting activities including performance monitoring and measurement.
  • Perform logistics processes and activities in a timely and efficient manner, following standard processes such as monitoring the fumigation, inspection process, loading and off-loading, the production lines (both manual and automated), repackaging, and warehouse hygiene
  • Respond to a variety of technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mind-set.
  • Support the implementation of the food incident management system and Assist in the preparation of reports related to food quality and safety issues.
  • Initiate and coordinate requisitions (Sampling, reconstitution, fumigation) with WFP / third parties/service providers to ensure commodities are delivered in good sound.
  • Contribute to budget preparation, monitoring and revision for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.
  • Assist in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary.
  • Assist in management of commodity accounting data quality and integrity.
  • Support operational pipeline analyses, assessments and operational planning for all delivery modalities.
  • Collect and compile data, produce and/or contribute to reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems in support to informed decision-making.
  • Liaise with internal and limited number of external stakeholders to support efficient logistics operations management.
  • Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines.
  • Support timely ordering and delivery of commodities and supplies to authorised partners and destinations.
  • Prepare regular and ad hoc reports (damage / loss) and statistics on warehouse operations, to support informative planning and decision-making by Warehouse Manager / Logistics Officer.

QUALIFICATIONS & EXPERIENCE REQUIRED:

Education: Secondary school education preferably university degree in business administration, Economy or quality assurance.

Experience: At least four years of progressively responsible support experience including at least one year in the field of food quality, food safety, food manufacturing and processing, pest control quality assurance, incident management system in addition to transport, clearing, insurance, statistics, operations or another related field.

Knowledge & Skills: Experience utilizing computers, including word processing, spreadsheet and other software packages.
Languages: Fluency in both oral and written communication in English and Arabic.
