Description

The Program Information Management Assistant provides general data management support to the program department. The aim of the position is to ensure high standards of accountability on project progress and enable proper centralization of data relating to the project activities. In collaboration with M&E Assistants and program staff, s/he proactively contributes to timely collection of data and creation of digital databases, ensuring cross-readability between different activities and areas of intervention. S/he is responsible for managing program databases of beneficiaries and other information products, including verifying the accuracy of the data and timely escalation of issues to the MEAL Officer. S/he will provide on-the-job and formal training to build the capacity of program staff in data collection and management, to ensure that staff have the necessary skills and knowledge to perform their roles correctly.

RELATIONSHIPS AND THEIR PURPOSE

1) Internal:

TASKS AND RESPONSIBILITIES 

1) Information Management

  • Create and maintain databases for project activities and beneficiaries, collaborating with the program teams to collect data and organize it in a proper way and in a timely fashion;
  • Verify the accuracy of data provided by the program teams by communicating with M&E assistants and escalating issues to the MEAL officer;
  • Ensure proper collection and storage of project Means of Verification (MOV) and correspondence between physical and digital documents;
  • Constantly communicate with affected populations to ensure that the data available to the organization is correct and continuously adjusted to the reality of the targeted areas and communities;
  • Ensure data is stored in a safe and accessible way, upholding Data Protection best practices and international guidance.

2) Data collection and reporting

  • Data collection and recording regarding the project indicators and the potentials beneficiaries;
  • Support in the design, implementation and/or monitoring of any activity relevant to the project;
  • Be involved in any evaluation on field survey implemented by COOPI;
  • Maintain an accurate reporting and data management of the activities;
  • Ensure data is stored in a safe and accessible way, upholding Data Protection best practices and international guidance.

3) Accountability to Affected Populations

  • Maintain regular contact with beneficiaries, community leaders, municipality representatives and other (I)NGOs, inviting them to participate in monitoring and assessment processes and sharing the results with them;
  • Inform target beneficiaries of their rights, the intended results and impact of the project, the monitoring and evaluation processes, and the feedback and complaints mechanism of COOPI;
  • Conduct visits to intervention areas to provide training, technical assistance, and support, as well as to ensure that accountability and learning tools and strategies are understood and being implemented effectively;
  • Ensure that feedback tools are available and are understood by the target population;
  • Ensure data is stored in a safe and accessible way, upholding Data Protection best practices and international guidance.

4) Security

  • Respect the security rules specified in the mission and the base security plan and perform the security management tasks that can be assigned in its protocols;
  • Communicate to the security referent of the working location any security related information or noncompliance with the security plan.

 5) Support all COOPI activities

  • Support emergency interventions, as per the employee’s competences;
  • Support any activity that helps achieving COOPI humanitarian goals, as per the employee’s capacities;
  • Participate in new assessments;
  • Support other activities if it is needed;

Qualifications & Preferred Skills

Experience

  • 2 years of experience in Information Managements (including, database design and management) preferably with humanitarian organizations/NGOs;
  • Experience in Monitoring and Evaluation, Accountability and Learning (MEAL), particularly community engagement and communication with program beneficiaries;
  • Previous experience in conducting assessments and data entry.

Skills & Qualifications

  • University degree in an Information Management/Computing related field;
  • Excellent knowledge of Microsoft Office Suite (Excel, Work);
  • Knowledge of digital data collection and analysis tools (KOBO, OKD, STATA);
  • Effective communication skills.
