JOB DESCRIPTION

We are seeking a Training Program Assistant for a 2-year-regular position (renewable) to work within the Training & Capacity Strengthening Department at the International Vaccine Institute in Seoul, Korea. (Duty station: Seoul, Korea)

Job Description

This job is responsible for supporting administration and logistics for the IVI Training & Capacity Strengthening team’s training program including GTH-B program to ensure efficient program implementation.

Key Roles & Responsibilities

1. Training program finance and procurement administration

Support in maintaining approved and updated program budgets to facilitate ongoing financial analysis.
Support monitoring and tracking spending to ensure adherence to the budget plan through IVI system (Business Central).
Assist with expense management and payments using government’s subsidy management website and IVI’s ERP system.
Support planning and procurement of goods and services including preparation of RFPs, requesting for quotations, and evaluating bids/proposals to determine the most suitable supplier.

2. Training program logistics and administration

Support in operation of trainings for both national participants and international participants
Provide logistics support in procurement for the program in accordance with institutional policies
Provide logistic/administrative support in arranging meetings, training programs, incoming visits, etc.
Coordinate and support disbursement of training program funds
Support engagement of external collaborators and partner organizations requests including administration support for the internal and external consultant and faculty

3. Global Communication

Interact and communicate with domestic and international participants of the training course for their inquiries and requests
Provide administrative support in preparing business trip of foreign participants and external faculty
Lead participants during the training period
Assist in establishing collaborative relationships with external partners for the development of training programs that cater specifically to the requirements of the institute or industry

4. Other ad-hoc tasks

Provide support to other IVI Training & Capacity Strengthening team’s training program as team required

Job Requirements and Qualifications

1. Education Requirements

A Bachelor’s degree in administration, science or business-related field

2. Related Field Work Experience

0+ years of experience

3. Technical and Professional Skills / Knowledge

Excellent skills in Microsoft Office and Hancom Office
Excellent communication skills in dealing with senior external contacts
Excellent inter-personal communication skills; professional presence.

Fluency in English
