Terms of Reference
The intern will give support to the leadership role of the Platforms, benefiting of a challenging learning experience in a multi-partners and multi-country context.
Task description
Under the direct supervision of Inter-Agency Coordinator, the UN Volunteer will undertake the following tasks:
1. Support for R4V tasks:
a. Sorting and updating mailings and contact lists for R4V in 4 countries.
b. Periodic forwarding of relevant information to partners and of publications and other key resources of R4V or partners.
c. Organization of R4V meetings (considering that there are 4 meetings per country per year, although we have generally held 3 in Paraguay and Uruguay due to capacity constraints).
d. Support in the logistical organization of meetings for 4 countries (hiring, venue iden-tification, venue preparation, etc.).
e. Preparation of draft minutes for R4V meetings and support for sending them to part-ners.
f. Calendar of meetings and other regional events.
g. Support in hiring and monitoring for publications, design, etc.
h. Support in coordinating with IOM Coordination on monitoring specific issues with partners.
2. Assistance in tasks related to Cooperation Frameworks and UN Migration Net-works:
a. Maintain an updated internal calendar of inter-agency spaces and a list of focal points for the Argentine MCO.
b. Support in compiling inputs from various units for diagnosis (CCAs, other evalua-tions, etc.), planning, evaluation, and reporting of inter-agency processes such as PMTs, Results Groups, and other inter-agency initiatives, etc.
c. Support in compiling inputs for Migration Networks initiatives.
3. Other general support for daily tasks as required

Inter-Agency Coordination Assistant
Organizational Setting and Work Relationships
The Inter-Agency Coordination Assistant normally reports to a higher grade local or international Inter-Agency position. The incumbent will provide administrative and organisational support to the Inter-Agency Unit and will liaise with other UN Agencies, NGOs and other partners of UNHCR as well as other units in the operation as necessary. S/he may be tasked to draft meeting minutes and reports.
All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCR’s core values of professionalism, integrity and respect for diversity.
Duties
- Provide secretarial support to the Inter-Agency unit and sector working groups, including drafting and reviewing meeting minutes, keeping recipients’ list updated, drafting support materials for meetings, organize and provide logistic support including transportation and translation support, disseminate relevant information to an external audience, etc.
- Liaise with partners as requested.
- Support the Inter-Agency Coordinators in ensuring good communication between the working groups in the field and the national working groups through regular contacts with the field.
- Liaise with the information management colleagues for sector updates, checking consistency, providing documents to be posted etc.
- Support the sector coordinators in the review and extraction of the reporting of sector partners on activity info.
- Support other Inter-Agency functions, including: collecting and disseminating weekly schedules and work plans, organize and maintain IA calendar and other coordination tools, support outreach to partners on issues such as financial tracking, follow up with field offices on weekly distribution schedules and attend IA meetings and/or specific working groups where relevant (including minute taking), etc.
- Draft reports for clearance by the supervisor.
- Organise coordination meetings.
- Gather information from UNHCR, partners and media.
- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
- Perform other related duties as required.

Relevant Job Experience
Essential
Knowledge of UNHCR and inter-agency policies, standards, programmes and humanitarian operations in operational context.
Desirable
Experience in humanitarian coordination (including but not limited to interagency coordination) is an asset. Emergency response experience is an asset.
