Job Description:
Staff Management and Team Relationships
· Create a working atmosphere of mutual trust, respect, and care among all staff, encouraging effective teamwork and mentorship within the Sponsorship Team to enhance professional growth and strengthen team dynamics.
· Ensure that Sponsorship Assistants across districts have clear monthly and weekly plans aligned with Development Officer engagement requirements, conducting and supporting performance agreements and reviews to track progress and address challenges as needed.
· Lead capacity building efforts for Sponsorship Officers and District Team members in multiple districts, focusing on their commitment, character, competence, and critical thinking while collaborating to implement personalized development plans.
· Promote strong relationships between Field Coordinators and Development Officers to ensure mutual understanding of sponsorship requirements and alignment towards common project goals across the districts.
· Oversee the reporting processes for monthly and weekly plans by District Sponsorship Coordinators in the three districts, providing constructive feedback to enhance alignment with sponsorship requirements and facilitate effective communication to address challenges.
· Work with procurement staff to ensure that necessary procurement tasks are completed in a timely manner across the three districts.
· Directly supervise a team of 3-5 Sponsorship Assistants and provide matrix management for 1-3 District Sponsorship Coordinators, ensuring effective support and guidance in their roles.
Communicating Sponsorship
· Create and maintain a file of the latest sponsorship communication materials in the local language for three districts, contributing to updates based on community experiences.
· Deliver training and orientations to Development Officers and other Programme staff to ensure they can effectively communicate sponsorship to communities. Ensure that all newly recruited staff are trained in sponsorship processes and standards across the districts.
· Meet with key stakeholders at the regional and District levels, including government representatives, churches, and NGOs, to explain sponsorship clearly and ensure proper understanding.
· Develop and maintain key sponsorship messages in Portuguese for district staff to facilitate effective communication of Child Sponsorship in communities.
Facilitating Communication with Sponsors
Provide overall leadership to ensure that sponsorship standards for correspondence are complied with. This includes:
· Receive, sort, and allocate weekly correspondence, including letters and Gift Notifications, to relevant Sponsorship Assistants, District Offices, Area Programs (as appropriate) ensuring compliance with sponsorship standards and modern systems.
· Lead the design and implementation of Annual Mail in the Districts. Collaborate to planning of these events, ensuring all requirements are understood by field staff, and organize logistics while preparing final reports. Additionally, oversee the planning and implementation of new sponsorship communication materials (correspondences and media) while reviewing results and coordinating feedback with the Communication team.
· Review the content of designed Annual Mail of the three District Programmes before submission to the Global Center for review.
· Lead accurate reporting process on Registered Children (RC) deaths, ensuring timely and clear reports.
· Follow up on all Support Office queries, discrepancies across District Programmes, and ensure effective communication regarding RC deaths.
· Ensure that sponsorship communications effectively foster personal relationships between sponsors and sponsored children, promoting timely and purposeful communication that builds two-way interactions and coherent stories for sponsors.
· Facilitate the planning and delivery of Child and Community Media, ensuring quality content that allows children and communities to express their identities, visions for the future, and interests. Monitor the production and timely delivery of this media across the region.
· Advise on the process of purchasing stamps, sponsorship equipment, and other necessary materials (e.g., mobile phones, scanners, toner, forms,) to support sponsorship activities.
Sponsorship Monitoring, Reporting and Reflection
· Monitor sponsorship progress against the plans and provide Status and supporting evidences to other Programme staff – (SOI, RC Management and Participation Report & Wellbeing Report) once every fortnight
· Reflect on Sponsorship Performance in a regular basis, identify programming gaps on contribution to community aspirations and inform the Sponsorship and Transformational Development Technical Manager for decision making on the way to addressing such gaps
· Submit districts Sponsorship Performance Report to Sponsorship and Transformational Development Technical Manager in a monthly basis.
· Prepare and distribute a comprehensive monthly, quarterly, semi-annual and annual review of sponsorship outcomes, highlighting successes and challenges, and recommend actionable strategies to enhance sponsorship operations, community engagement and Sponsorship effectiveness.
· Ensure Sponsorship feasibility is up to date in their region thus promptly informing to a “Go” or “No-Go” decision for new APs, Sponsorship initiatives, etc.
Global and Support Office Relationships
· Ensure that GC and SO queries are handled in a timely manner and apply modern processes and systems. Directly engage with GC and SOs where need be, especially when targets are not going to be met or there are concerns in implementation.
· Review Birthday Bounce back Concept Note; Monitor implementation; Review Report and budget
· Ensure quality Annual Mail and Story of Transformation and respond any related queries from GC and SOs
· Connect with GC in case of delays in GC QR in line with ongoing initiatives.
· Lead the Engagement with GC and SO on the business process of Chosen or any other initiatives
Sponsor Visits
· Collaborate with Support Offices (SOs) to make comprehensive pre-visit arrangements, including visa applications, hotel reservations, travel plans, schedules, and estimated costs.
· Meet sponsors upon arrival at the Programme office to provide an orientation and security update. Ensure they sign the behavior protocols and explain the visit plan, including entry and exit meetings at the National Office.
· Create a District Profile for each of the three districts (if country profile is not available) to be used during visits, sharing this information with the sponsors for effective communication.
· Make all necessary logistical arrangements for visiting Registered Children (RCs) in the community, ensuring a smooth visit experience.
· Accompany sponsors during their visits to meet their child and provide translation support as needed.
· Ensure that post-visit follow-up is conducted in accordance with standards, including sending a thank you letter to the sponsor and a visit report to the SO according to the standards.
· Ensure sponsors to complete a visitor feedback form and actively seek suggestions for improving the sponsor visit experience.
· Facilitate a thorough context assessment prior to sponsor visits to identify and mitigate any potential risks associated with the environment.
Program Design and Planning
· Advise on opportunities for sponsorship integration during project planning, building sponsorship processes into sector project designs such that sponsorship work does not have to be done separately.
· Contribute to the development of annual plans based on project designs, ensuring these are updated based on new learnings
· Lead the annual planning of the Sponsorship Integration, ensuring targets for sponsorship and all GC initiatives are effectively incorporated.
· Lead the preparation of audit responses for sponsorship findings, and manage the implementation of the response
Program Evaluation and Reflection
· Participate in reflection meetings at District level. Contribute learning from implementation such that a culture of learning is fostered within the district team.
· Participate in programme evaluations, ensuring sponsorship issues are effectively considered. – assessments and risk management when starting up a new district programme
· Conduct monthly district meetings to support a culture of high-quality performance, reflection on progress and learning for improvement
· Co-facilitate Sponsorship forums (i.e., Sponsorship Talks) to ensure Child Sponsorship is perceived as asset for child protection, participation & voice and to addressing root causes of vulnerability
Capacity Building:
· Implement regular training sessions for staff to enhance their skills in monitoring and evaluating RC, ensuring that data collected is reliable, timely, and contributes to continuous improvement.
· Guide districts in creating actionable integration plans that not only meet Sponsorship requirements but also promote sustainable community development and empowerment.
· Ensure staff training to facilitate a quality, accurate, timely and complete monitoring of RC
· Foster use of appropriate tools during RC monitoring (i.e., Home Visit Cards, integration plan, Visit plan, etc.)
· Train staff on RC Death Information Management, CVP-GN, Sponsorship 3.0 approaches, and other initiatives
Technical Support to the Districts
· Conduct comprehensive training sessions for the district teams on effective sponsorship ensuring that they are comfortable with the tools and processes
· Lead the roll-out of global initiatives related to sponsorship such as Sponsorship 3.0, CVP-GN, Child Portal and others in the districts
· Oversee the management of districts´ sponsorship information systems
· Schedule regular on-site visits to the district teams to assess their needs, gather feedback on the tools being used, and make necessary adjustments to support their work effectively
· Continuously evaluating the effectiveness of the assistance and adapt strategies based on feedback and changing district needs, ensuring the Sponsorship continues contribute to program impact.
· Foster regular, meaningful and timely correspondence to sustain transformative relationship between sponsors and registered children
· Enable experience exchange between the districts whenever necessary.
General

· Support the Districts during audit Preparation, Response and Implementation of recommendations
· Prepare and consolidate the procurement request of Sponsorship materials and equipment of the districts (Sponsorship materials include: SL, IL, APR, CC and Home Visit Card templates or models)
· Collect and delivery letters from the local post office
Minimum education, training and experience requirements to qualify for the position:
- Bachelor’s Degree in a relevant subject (social studies, development or similar).
- Conceptual understanding of, and commitment to, development work among the poor
Preferred Skills, Knowledge and Experience:
- At least 5 years’ previous work experience; experience in development work is an asset but not essential.
- Experience of data entry and working with different languages. Experience of development is an asset but not essential.
- Excellent written and oral communication skills, in both Portuguese and English.
- Strong team building skills and ability to build a team ethic.
- Strong computer skills in Microsoft Word and Excel, or other similar software, and ability to learn new software packages.
- Ability to learn new requirements and communicate these effectively to team members; ability to manage change efficiently.
- Ability to model Christian leadership, including leading devotions.
Complete Travel and/or Work Environment statements if applicable.
- Based in Mutarara or Monapo District Office; travel to other Districts and communities up to 50%.
