Education: Required – High school diploma or equivalent.

Experience: Required – With a high school diploma or equivalent, 1 year of related experience and/or training in a related field.

Summary: The Intake Specialist will initiate the intake process for clients seeking services and is responsible for gathering, verifying, and recording client information into PEIRS and Salesforce. The Intake Specialist will accurately input and maintain client information and ensure data integrity. The Intake Specialist will assess clients’ needs and urgency to direct them to the designated staff.

Essential Functions:
1. Collect and document client information, including completing all required intake forms, assessments, and service plans.
2. Verify eligibility and required documentation.
3. Accurately input and maintain data in PEIRS and Salesforce.
4. Provide clients with information about available services, resources, and next steps.
5. Communicate effectively with internal staff to facilitate smooth handoffs and service coordination
6. Identify urgent needs and escalate appropriately to the Program Director.
7. Follow up with clients to complete intake or gather missing information.
8. Maintain client referral records.
9. Assist in conducting outreach duties as assigned by program director.
10. Attend training as assigned by program director.
11. Comply with safety procedures in accordance with program requirements.
12. Meet all deadlines by program director and federal partners.

Measurable Deliverables:
1. Process 6-7 intakes per week.
2. Meet documentation deadlines in accordance with program requirements.
3. Enter information in Salesforce as required by agency policy, procedures, and guidelines.
4. Participate in scheduled meetings and team decisions and operations.
5. Participate in workshops, seminars, education programs, and activities that promote professional growth and development.
6. Compile, prepare, submit, and maintain accurate records, files, forms, and additional information in accordance with agency policies, licensing and/or contract requirements.
7. Implement BCFS safety protocols, at all times.
8. Maintain BCFS HHS professional and ethical standards of conduct outlined in BCFS employee handbook including demonstrating respect for agency staff, children, and community members and complying with required dress code, at all times.

Requirements:
1. Maintain current licenses including any certificates required for the position including, but not limited to: Driver’s License, First Aid CPR AED, Application Assistance Navigator, Community Health Worker, Mental Health First Aid, and Child Passenger Safety Technician and Post-Partum Doula,
2. Meet all federal and state regulatory guidelines and standards applicable to this position.
3. Pass a pre-employment drug screen and random drug screens throughout employment.
4. Provide proof of work eligibility status upon request.
5. Pass pre-employment and biennial criminal background checks.
6. Drive a vehicle and comply with safety procedures in accordance with program requirements.
7. Demonstrate the ability to:
a. Respond sensitively and competently to the service population’s cultural and socio-economic characteristics.
b. Work in a fast-paced environment and maintain emotional control, and professional composure, at all times.
c. Communicate effectively in writing and verbally in English (Spanish highly preferred)
d. Organize and prioritize responsibilities and duties efficiently.
e. Provide crisis intervention according to training provided by BCFS HHS when needed to maintain a safe environment.
f. Maintain computer literacy required to meet the responsibilities of the position.
g. Maintain confidentiality in all areas of the service population and program operations.
