About the position
The Alliance is looking to recruit for the position of Finance Assistant. The Finance Assistant will be part of a dynamic Alliance team based at the Tanzania country office. The Finance Assistant will be reporting to the Country Office Administrator. The incumbent will be assisting in ensuring timely and accurate registration of transactions, robust treasury operations in compliance with internal controls and statutory requirements. As part of the country Business Operations and Finance (BOF) team, the incumbent will work in close collaboration with Operations, Human Resource, PLANS (Project Financial Analysis & Support) Project support team and hosted entity leadership.
Main Responsibilities
Assist in clearing budget commitments and tracking budget utilization to ensure financial accuracy and compliance.
Assist in the effective running of banking operations ensuring all bank/cash accounts are duly reconciled and balances maintained for seamless office requirements
Ensure payments and liquidated expenses are duly documented, checked, posted, and stored in accordance with institutional financial procedures and GAAP.
Check and verify supporting documentation for all payment and liquidation transactions before processing.
Work closely with the Finance Analyst, PLANS, and administrative teams to ensure the timely processing of payments in accordance with ABC policies and procedures.
Assist with the provision of documentation for institutional and project audits, ensuring timely submission of audit information, compliance with audit requirements, and implementation of audit recommendations.
Support effective cash flow management by working closely with different business units to ensure adequate cash resources for Alliance operations.
Prepare journal vouchers (JVs) and payment vouchers (PVs) for posting by the Finance Analyst into the ERP system accurately and in a timely manner.
Analyse supplier balances regularly to monitor payables and flag irregularities in consultation with the Finance Analyst.
Assist in maintaining an efficient archiving system for proper filing and retrieval of accounting documents per donor and Alliance policy.
Assist in the timely settlement of account payables from Alliance vendors.
Education qualifications and experience
University degree in Business Administration, Finance, Accounting, or related field
Strong proficiency in the English language, both written and spoken
Excellent interpersonal skills including the ability to work effectively with other national and cultural backgrounds
Excellent organizational and problem-solving skills
Strong client service orientation
High degree of integrity and transparency
Proficiency in Microsoft office suite, with good practical knowledge of Excel and ERP systems
At least two (2) years of work experience in finance in an international organization including budgeting, accounting guidelines and financial management of projects
Terms of employment
This is a nationally recruited position based in Arusha, Tanzania. The initial contract will be for one (1) year, subject to a probation period of three (3) months and is renewable depending on performance and availability of resources. This position is graded at BG04 level with a minimum basic salary of TZs 915,305.00. This grade is in a scale of BG01 to BG14 (BG14 being the highest level according to the Alliance job classification policy).
