Job Description (Roles and Responsibilities)

To support the Corporate Services Manager (CSM) and Head of Governor’s Office (HOGO) in delivery of corporate services for the Governor’s Office, including IT support, estates and asset maintenance, accountant duties, updating records and support to new staff arrivals.

Budgets, Finance

Post accountant duties including responsibility for cash float, issuing invoices for telephone usage and receipts for incoming monies. Processing of all supplier invoices, entering payments on banking platform.
Assist CSM with budget management and monitoring, including procurement and requisitions where required.

Estates, Transport and IT

  • Identify potential properties for Post Hirings. Lead on maintenance of residential properties and office, working closely with BVI colleagues to implement the Service Level Agreement.
  • Support the implementation and maintenance of Post’s Health and Safety strategy. Disseminate FCDO Health and Safety advice to colleagues and remind them of FCDO policy.
  • Assist CSM in dealings with local contractors and technical experts to maintain and uphold Health, Safety and Security requirements that comply with local and UK standards.
  • Maintain FCDO property inventories and rolling furniture programme, including disposals and purchasing, ensuring Planon property register is kept updated.
  • Oversee transport support, including maintenance of office car and Governor’s car

Community Liaison Officer support for incoming staff

  • Updating of Post Report, Induction Pack and Visitors Briefing Pack.
  • Completion of Cost of Living Survey twice a year and Geographical Expenditure Guides.
  • Provide advice and practical support to UK-based FCDO and other Government Department’s officers and families on arrival at Post.

Safety and Security

  • Assist CSM with implementation of Security Advisers’ recommendations, including sourcing quotes and supervising security works.
  • Assist CSM with Health & Safety awareness raising and compliance, including regular safety drills.
  • Support Disaster preparedness, helping to maintain accurate records for Crisis Management plan and business continuity plan, provision of advice and supplies in the event of a natural disaster.

Visits and Events Management

  • Lead on arranging FCDO corporate, technical and security visits to the Territory.
  • Complete diplomatic clearances for visiting ships (Royal Navy, US and other nationality naval vessels) and overflight and landing of military aircraft.
  • Assist with logistics for major functions such as King’s Birthday Party and Remembrance Day.

Consular-type Assistance and Nationality

  • Assist in providing consular-type support as necessary to visiting Distressed British Nationals.
  • Maintain ‘post box’ service for Civil Registry sending BC registration applications to Home Office and forwarding certificates received from Home Office to Civil Registry.

Information Technology (IT)

  • As Information Technology Support Officer (ITSO), be main point of contact for Information and Digital Directorate in UK, lead on trouble-shooting all IT issues and purchasing IT equipment when needed.
  • Day-to-day maintenance, upkeep and disposal of the Governor’s Office FCDO IT systems.
  • Complete IT Inventory log and updates.

Essential qualifications, skills and experience

• Proficient IT skills.
• Good organisational and communication skills.
• BVI driving licence.

BVI positions do not require prior legal status to live and work in the British Virgin Islands. The Governor”s Office will assist with the entry clearance and work permit process for the successful candidate.

Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.

Appointable candidates who were unsuccessful may be placed on a ‘reserve list. If during the reserve period of 12 months the same or largely similar role becomes available, that role may be offered to the second of subsequent candidate.

Working patterns:

Many of this role’s duties require physical presence in the Governor’s Office. Subject to operational requirements occasional working from home and flexible working hours may be agreed with the line manager.
