Job Description (Roles and Responsibilities)
Main purpose of job:
Work with the Protocol team to deliver routine protocol duties such as clearance of official consignments; assisting staff with visa, driving license, diplomatic ID cards, vehicle registration, etc.
Roles and responsibilities:
- MFA – liaising with MFA on UK-based staff arrival and departure issues, arranging clearance of personal effects of UK- based and official shipments for the embassy, applying for diplomatic ID cards and driving licences, organising allocation of number plates to private and official vehicles, and securing authorisation to sell duty free vehicles on open market.
- Customs – processing of all necessary Customs paperwork for goods clearance and liaising with Customs on all other Customs related issues.
- Driving licences – Processing of driving licences, registration of vehicles, change of ownership of vehicles and all vehicle-related matters.
- Immigration – Securing entry visas, as well as managing all immigration issues including the processing of residence and work permits for all expatriate staff.
- Airport duties – Arranging diplomatic airport passes, and the use of VIP lounge, tarmac access, meeting and seeing off HMG’s senior officials.
- Freight handling – Processing the necessary documentation for clearance and export of air freight and heavy baggage for UK-based staff and other consignments for the embassy; liaising with the embassy’s clearing agents when required and ensuring all process are correctly followed and all rules/legislation adhered to; briefing officers on arrival and ensuring all documentations are submitted and processed before departure.
- Visa applications – Processing visa applications for UK-based and CBS colleagues for official travel.
Essential qualifications, skills and experience
- College Diploma/degree in business related field
- 5 or more years’ experience on facilitation, clearance and protocol work, or similar facilitation roles
- Good knowledge of Ethiopian Government offices, their procedures/policies
- Basic computer skills – Word, Excel
- 3rd grade or equivalent valid driving license
- Able to work on unconditional hours, late nights, early mornings, weekends, public holidays
- Fluent in Amharic and English
Desirable qualifications, skills and experience
- Proven driving ability of 4WD vehicles
