About IRRI

The International Rice Research Institute (IRRI) is dedicated to reducing poverty and hunger through rice science; improving the health and welfare of rice farmers and consumers; and protecting the rice-growing environment for future generations. IRRI is an independent, nonprofit, research and educational institute, founded in 1960 by the Ford and Rockefeller foundations with support from the Philippine government. The institute, headquartered in Los Baños, Philippines, has offices in 17 rice-growing countries in Asia and Africa, and over 1,000 staff.

Working with in-country partners, IRRI develops advanced rice varieties that yield more grain and better withstand pests and disease as well as flooding, drought, and other harmful effects of climate change.

Job Purpose

To provide dedicated administrative and data support to the Library and Documentation Services (LDS) team by handling routine yet essential tasks such as data entry, document organization, metadata tagging, and inquiry management. This role ensures the accuracy and efficiency of library operations, enabling the LDS team to focus on higher-level knowledge management and research support initiatives.

This position will be based at the IRRI Headquarters, Los Baños, Philippines and may only be filled by permanent citizens of the Philippines.

Roles and Responsibilities

Assist with data entry and record updates in Koha, CGSpace, and other library databases.
Perform administrative support tasks, including managing inquiries, organizing documents, and assisting in library-related workflows.
Help process scientific publications and research outputs, ensuring proper metadata tagging and indexing.
Support the uploading and maintenance of publications in CGSpace and internal databases.
Assist in scanning, digitizing, and organizing documents, ensuring proper file management.
Work with spreadsheets and databases to maintain accurate records and generate simple reports.
Provide general support to the Library and Documentation Services (LDS) team as needed.

Qualifications

Bachelor’s degree or Diploma in Library and Information Science, Information Management, Data Management, Business Administration, or a related field.
Experience in data entry, administrative tasks, or document processing in a library, research institution, or similar setting.

Skills Required

Mandatory

Basic understanding of scientific publications, metadata, and research documentation
Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace for data management and reporting.
Experience with data organization, spreadsheets (VLOOKUP, pivot tables), and document processing tools.
Strong attention to detail, ability to follow instructions, and organizational skills.

Preferred

Knowledge in Library Science
Knowledge in MARC21
Familiarity with library databases and cataloging systems (e.g., Koha, CGSpace)
