The role of the SHO Logistic and Admin assistant is to be responsible for assisting in effective and efficient delivery and coordination of logistics services for SHO. In particular, he/she will assist in the identification and procurement of locally sourced goods and services, as well as facilitate the timely importation of overseas-procured equipment. In addition, he/she will be responsible for the maintenance and serviceability of goods, equipment and facilities, and any other remote operational locality.
The Logistic and Admin assistant reports directly to the SHO Support Service Manager or any other designated person appointed instructed by the Support Service Manager.
Responsibilities:
- Work within the framework of SHO’s core values, promoting its ethos and mission statement; especially impartiality and non-political alignment.
- Work towards achieving SHO’s organizational and programmed/Support service level objectives.
- Stay informed of SHO’s activities.
- Ensure familiarity with and adhere to all SHO policies and procedures.
- Participate in wider meetings and seminars as and when requested by the SHO
- Participate in SHO training activities as and when requested by the SHO Management.
- Undertake the role in a manner appropriate to respective cultural contexts and within all local legal frameworks.
- Ensure PSEA indicators are included in assessments and surveys.
- Undertake any unspecified duties appropriate to the post as may be required by line manager.
- The effective and efficient delivery and coordination of logistics services for SHO, including:
- Liaison with SHO Management regarding delivery dates and mode for overseas/locally procured equipment, including gaining appropriate clearance documentation/Access letters.
- Liaison with key SHO Management regarding local procurement requirements.
- Provide logistical and support services to field operational staff.
- Ensure competitive quotations are received in accordance with SHO’s financial rules and regulations.
- Liaise and negotiate with suppliers, manufactures, retailers and consumers.
- The Logistic and Admin assistant will be responsible for any losses or damage to SHO equipment or facilities due to negligence and will be liable for repair or replacement thereof.
- Supervise the operational aspects of transport/vehicle contracts including:
- Any other duties as required by the line manager or Support service manager.
- Follow up, and prepare needed paper works to do the monthly payments such as framework agreements, Offices/Guest house running payments, Fleet maintenance etc.
