Job Title: Project Assistant

Location: Washington, DC Metro Area/ Either hybrid or fully remote in the US

Reports To: Senior Project Manager

Type: Regular Full-Time

Overview: IBTCI is seeking a Project Assistant (PA) to work with the Global Health Technical Assistance and Mission Support (GH-TAMS) project team in Washington, DC. GH-TAMS is a five-year USAID-funded contract. GH-TAMS supports USAID operating units working on health-related activities by providing access to high-quality technical expertise and management support.

Responsibilities

Essential Duties/Tasks and Responsibilities:

  • Update and/or maintain project databases.
  • Create, maintain, and update consultant and assignment files.
  • Assist and arrange travel logistics (flights, hotel reservations, travel insurance, and visas for traveling consultants).
  • Assist recruitment in drafting and listing advertisements online, monitor recruitment applications, and follow-up with candidates.
  • Provide basic financial administrative support to staff and consultants throughout their assignments (reviewing invoices, obtaining travel advances, etc.).
  • Support project team in drafting contracts and other assignment materials as needed
  • Provide closeout support to the senior management team through review of databases, project files, setting up and maintaining project closeout trackers, and other administrative project closeout tasks as may be required.
  • Maintain open communication across the GH-TAMS team to coordinate cross-cutting tasks.
  • Other administrative tasks as requested.
  • In addition, as time permits, there may be opportunities for the project assistant to work closely with Project Managers in managing assignments.

Qualifications

Minimum Requirements:

  • Previous administrative experience with large, complex projects.
  • One to three years’ experience in international development or project management.
  • Outstanding written and oral communication skills and excellent interpersonal skills.
  • Well-organized, attentive to detail, skills in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously.
  • Works well independently and in teams; pro-active in anticipating work requirements and problem solving.
  • Mastery of Microsoft Office (spreadsheets, database use, and presentation software).
  • Written and verbal fluency in English required

Education:

  • Bachelor’s Degree in public health, business, international development, or related fields.

Preferred Knowledge, Skills, and Abilities:

  • Experience and/or familiarity with USAID-funded projects.
  • Fluency in any additional languages is beneficial
  • Administrative experience with a USAID-funded project and/or USG or donor-funded project.

Working Environment: Work is typically performed in an office environment.

Physical Requirements: This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Supervisory Responsibility: This position does not have supervisory responsibilities.

Work Authorization: Candidate must be authorized to work in U.S.A.; visa sponsorship is not available for this position.
